Q1: What is Single Sign-On (SSO)?

SSO allows you to log in to multiple platforms using one single set of credentials. Once activated, you’ll access all your WHA tools through your Okta login — no separate usernames or passwords required for each platform.

Q2: What is Okta?

Okta is a trusted identity and access management platform used by organisations worldwide. WHA uses Okta to provide you with a single, secure login across your WHA tools. You don’t need to download or install anything — Okta simply manages how you log in.

Q3: Why is WHA making this change?

SSO via Okta makes your access simpler and more secure. Rather than managing multiple usernames and passwords for different platforms, you’ll have one login that works across everything. It also reduces the risk of account issues caused by forgotten or outdated credentials.

Q4: Which tools will I be able to access through Okta?

Through your single Okta login, you’ll be able to access the WHA tools assigned to your account. Your access remains exactly as it is now — Okta simply changes how you log in, not what you can see or do.

Getting Set Up

Q5: What do I need to do to get set up?

Activating your Okta account involves two straightforward steps. First, complete the one-time Okta registration using the link provided. Second, set up multi-factor authentication (MFA) on your mobile phone — during Okta setup you’ll be prompted to select Google Authenticator, and once a QR code appears you can scan it with Google Authenticator or another authenticator app you already use (see Q6 for more detail). Most people can complete both steps in under five minutes.

Q6: Which authentication app should I use?

There are two parts to this. First, when Okta asks you to choose a multi-factor authentication method, please select Google Authenticator. Do not select Okta Verify. Second, once you’ve selected Google Authenticator, Okta will display a QR code. At that point, you can scan the QR code with either the free Google Authenticator app (recommended if you don’t already have an authenticator app) or any other authenticator app you already use on your phone (for example Microsoft Authenticator). Whichever app scans the QR code will generate the 6-digit sign-in codes you use from then on.

Q7: Where do I log in after my Okta account is activated?

Once your Okta account is activated, you’ll access all your WHA tools through a single new login page using your Okta username, password, and authenticator app:

We recommend bookmarking this page once you’ve confirmed your access is working. Please note that any existing bookmarks pointing to old login pages will no longer work after activation.

Q8: My browser has my old passwords saved — will those still work?

No. Once your Okta account is activated, your old login credentials will be deactivated and saved browser passwords will no longer work. You’ll need to log in via the new Okta login page going forward. We recommend deleting any saved WHA passwords from your browser after activation to avoid confusion.

Q9: What happens if I don’t complete the registration?

Until you complete the Okta registration, you may not be able to access your WHA tools. We recommend completing your registration as soon as possible to avoid any interruption to your access.

Devices & Access

Q10: Can I log in from my personal device or only my work computer?

You can log in via Okta from any device with internet access, including personal devices. However, your organisation’s IT policies may restrict which devices are permitted to access certain tools. If you’re unsure, check with your IT team.

Q11: I use WHA tools on multiple devices — do I need to set up Okta on each one?

You’ll use the same Okta login credentials across all your devices — there’s no separate setup required per device. Simply navigate to the new login page on each device and log in with your Okta credentials.

Security & Passwords

Q12: Is Okta secure? Who can see my login activity?

Yes. Okta is one of the most widely used and trusted identity platforms in the world. Your login activity is managed securely and is only accessible to authorised WHA administrators for the purposes of access management and support. Okta does not give WHA access to anything on your personal device or network.

Q13: What if I forget my Okta password?

Okta includes a self-service password reset function. If you forget your password, simply click ‘Forgot Password’ on the Okta login page and follow the prompts — you’ll be able to reset it yourself without needing to contact WHA.

Q14: Will Okta have access to anything else on my device or network?

No. Okta only manages authentication — that is, verifying your identity when you log in to WHA tools. It does not have visibility into your device, files, or any other applications or systems on your network.

IT & Support

Q15: Does our IT team need to be involved?

For most users, the Okta setup is managed entirely on the WHA side and requires nothing from your IT team. However, depending on your organisation’s environment, there may be some configuration required. If you receive any “error” or “forbidden” messages please contact your own IT team.
